1. How do I login to the DaCdb Database?

 

From the home page of this website (www.rotary6960.org)

 

1.  Click on the R.I. Theme Logo for this Rotary year located on the home page of this website

2.  Insert your USERNAME in the “Username” window. (Originally. this was your email address)

3.  Insert your PASSWORD in the “Password” window. (Originally, this was your  RI Number with leading zero's removed)
 

Note: You can change your own username and password. See Topic Index above to locate instructions

2. How do I change my personal information?

Important note: The new DaCdb system has the ability to print name tags for members, spouses and partners for club and district events. The information to print these name tags comes from Section 1 of your membership information. If you have a Spouse/Partner, we implore you to record that information at the bottom of Section 1 of your information. If the person's last name is different than yours, please include their last name. We also encourage you to record the Anniversary date. Another suggestion when you register is IF both you and your spouse/partner are Rotarians OR if both attendees are Guest, we suggest you each register separately. This allows us to have proper counts between Rotarians and Guest and allows each badge to be unique.

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the MEMBERS tab.
6. At the top of the box containing your information click the EDIT MEMBER button.
7. Change all fields required to be changed, add any information
8. At the top or bottom of the form, click the UPDATE MEMBER button

3. Member Position and Automatic Security Assigned

The security is set by establishing the Member's Position at the Club and District levels. Not only is the security level establish by setting the member's position but changing the member position also automatically assigns the person automatically to various committees.

 

The security levels are controlled by the member’s Club Position, and the club position may also dictate what the "new" Club Position will be after July 1st or the start of the new Rotary year. Because of some internal automatic functions, some Club Positions you could have assigned MAY be automatically changed as part of

the transition from one Rotary year to a new Rotary year. In order to help you have a better understanding of this, I have created a table (copy attached) that shows how this system works.

 

If someone manually changes the security level, the automatic internal links may become corrupted. PLEASE, ONLY CHANGE A MEMBERS POSITION, NOT THE SECURITY LEVEL.

 

TABLE EXLANATION:

• Position ID: Use for internal purpose.

• Position : This is displayed when someone is assigning a Club Position while updating a person's record.

• PositionSort: Used to sort the positions when you VIEW a club.

• PositionSecurity: Security Level assigned when someone is assigning a Club Position while updating a person's record.

• to-RoleKey:Used for automatic population of specific people to Committees based upon Club Position assigned. (Note: this feature only impacts committees that have an associate Role Key)

• Position effective 1 July...: This is the value AUTOMATICALLY assigned to both incoming and outgoing club members on 1 July as a result of their Position as recorded on June 30th.

 

EXAMPLES:

1. If a person was listed as the Club President on 30 June, their Club Position on 1 July automatically becomes member.

2. If a person was listed as the President Nominee on 30 June, their Club Position on 1 July automatically becomes President elect.

3. If a person was listed as the Treasure/Treas-Elec on 30 June, their Club Position on 1 July automatically becomes Treasurer.

 

Keep in mind some Club Positions do NOT change such as, member, CCO, and Exec Secretary because they are considered on-going positions. But the default for most positions is to return to "member" since most terms are for one year. Remember, you do not have control of this table. Please study this process before

assigning Club Positions and prior to entering new officers for the next Rotary year. Remember, some club positions are automatic and others will have to be entered AFTER July 1st.

4. How do I find out my security level?

4. You should now be logged in the District website.

5. Select the MEMBERS tab.
6. At the top of the box containing your information click the EDIT MEMBER button.
7. Scroll down to SECTION 5. This section contains your security level. DO NOT CHANGE. The security is set automatically by adjusting the Club or District position. Changing it manually may cause problems.

5. How do I add/change my picture on the database?

 

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the MEMBERS tab.
6. At the top of the box containing your information click the EDIT MEMBER button.

7. About 4 lines from the bottom of Section 1 is the Picture information. To load or replace a picture, select the Browse button to locate a picture residing on your hard drive or mobile storage device. Click on the file name of the picture. This will insert the filename in the picture field.

8. At the top or bottom of the form, click the UPDATE MEMBER button

6. When I try to login, I receive the message: Invalid Login Name or Password !! What should I do?

The easiest way to find out the username and password the system has on file for you is to click
the word Password located in the bottom right of the form field.

You then will prompted to enter your email address in a second form filed.

  Submit

Once you enter your email address and press the Submit button, your username and password on file will be emailed to you.

Now isn't that easy?

7. How do I load my club's newsletter to the database?
                                                                 (This operation requires a level 3 security)

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "my Club"  tab

6a. Select View MY Club dropdown option

6b. On the last line of Section 1, select CLUB BULLETIN

7. Select  button

8. Enter a descriptive name for the newsletter. NO PUNCTUATION CHARACTERS PERMITTED

9. On the bottom line, enter the file location of the file to be uploaded. Suggest you have your newsletter in PDF format.
10. At the bottom of the form, click the ADD button

8. How do I print a Club Reports?

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "my Clubs"  tab

6. Select "Club Reports Button" at the beginning of Section 3.

7. Select the report desired in the drop down "select report" window

8. Choose the output of the report desired.

9. "How do I pay for an event that I have registered for but have not paid for?"

 

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "GoTo RegistereME" option under the CALENDAR tab

6. Roll the screen down and locate the date and name of the event you want to locate.

7. Select the option Register NOW

8. At the bottom left corner of the screen, select the box titled

9. This will display your payment information. Select either of the GREEN bars located at the top and bottom of the screen.

10. Follow the following directions.

 

If Payment is by PayPal:
Locate the area titled:
Pay Fast With PayPal.
Enter your PayPal Email Address and Password.
Press the LOGIN button.
Enter required PayPal information.


If paying by credit card:
Locate the area titled:
Don't Have a  PayPal Account?.
Click the CONTINUE button.

Complete all Credit Card information. You do not have to enter a PayPal Email Address or Password.

10. How do I read Club Newsletter's without Logging In?

Want to any Club's newsletter without logging in?

Go to the District 6960 website and select the drop down window titled DISTRICT NEWSLETTER.
Select the club(s) you want to view.

11. How do I register for a calendar event?

 

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "GoTo RegistereME" option under the CALENDAR tab

6. Roll the screen down and locate the date and name of the event you want to register with.

7. Select the option Register NOW

8. Complete the registration form

9. Click/Select the UPDATE button at bottom left side of form

12. How do I cancel a Registration I have previously made?

Unfortunately, Rotarians with security levels below level 4, are not permitted to cancel any registration unless they are the moderator for the event. Only those above level 4 security and the event moderator can cancel registrations. Any district officer has a level 4 security.

13. How do I transfer a Rotarian to a different Club?

To put it in its simplest form, you can't BUT under certain conditions (must be in the same District) it is possible by a District Officer. We suggest you contact the District Webmaster for this change.  Please do not issue a delete on the person. The change made at the District level will automatically process all paperwork with one operation.

14. How do I add a new Rotarian to my club?

(This operation requires a level 3 security, and is normally performed by the Club Secretary)

 the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "my Club"  tab

6a. Select View MY Club dropdown option

6b. Scroll down to Section 3 and press the button
7. A blank member for will be displayed which you need to enter as much information regarding the new member as possible. For RI Number (located at the top of Section 1) enter a single zero (0).
8. After you have entered all information, click the  button located at the top and bottom of the form.

15. How do I terminate/delete a member from a club?

(This operation requires a level 3 security, and is normally performed by the Club Secretary)

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to

 the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "my Club" tab
6. Scroll down until you locate the name of the person in section 3 of your club
7. Locate to the right of the members name the options Edit|View|Del and select the Del option
8. This will bring up the verification/delete form. Complete the information information in Section 3.

9. After you have entered all information, click the button at the top or bottom of the form.

16. How do I change my login username and/or password?

(This operation requires a level 3 security, and is normally performed by the Club Secretary)

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the MEMBERS tab.

7. In Section 5, locate the Username and/or Passwords fields.
8. Change fields to be what you want the to be. PLEASE, REMEMBER THEM!
9. At the top or bottom of the form, click the UPDATE MEMBER button

10. The next time you have to login, you will be required to enter this new information.  You will have to again go through the process to have your computer to remember them

17. How do I find another member in our District? I need their telephone and email address.

4. You should now be logged in the District website.

5. Select the "Find a Member" option under the MEMBERS tab

6. In the Name/E-mail field Enter a partial first or last name, partial email, enter a Member ID, classification and/or optionally select a club name.

18. I have a GUEST attending a District Event with me. How do I register them since they do not belong to a club in my district?

 

1. Login to the District Website (http://rotary6960.org/)

2. Click on the R.I. Theme Logo for this Rotary year located on the home page of this website to gain access to the Database system

3. Enter your required username/password

4. You should now be logged in the District website.

5. Select the "GoTo RegistereME" option under the CALENDAR tab

6. Roll the screen down and locate the date and name of the event you want to register with.

7. Select the option Register NOW
8. At the TOP of the form, click the underlined words ADD GUEST.

9. Complete the form to add the person as a "Member of The District." (Note, person will remain a member lf the district unless deleted)
10. Click the ADD box at the top or bottom of the form.

11. Complete the registration form

12. Click/Select the UPDATE button at bottom left side of form

19. I am a new Rotarian and have tried everything to login but cannot do so, Why?

For some new Rotarians to a club, the UserName and PassWord MAY be blank, IF you have never (successfully) signed into the database. 

So, if the UserName and PassWord are blank,
    then either RULE 1 applies (if they have a Rotarian ID#),
         -or-   RULE 2 if they are a new member and have a "0" RI ID#.

RULE 1: They use their E-mail address as their UserName
         and use their RI ID# as their PassWord.

RULE 2: They use their E-mail address as their UserName
         and use their LASTNAME as their PassWord.

THEN, in either case, they should check the box to REMEMBER their signon.

20. I am a club Secretary. How can I find the RI number of one of my club members?

First, an explanation. The rules state when we add a new Rotarian to our database, if we do not know the new members RI number to insert a zero (0) into that field. (RI numbers are issued by Rotary International). This number must only be issued once for an individual and should stay with them forever regardless if they should change clubs).  So, how can we find the RI number of an individual? If they are not as new Rotarian, we can find it on the label affixed to the Rotarian magazine of the specific member.  It is located on the second line, left side of the label or we can find it in the RI membership database.

The master list of RI number resides on the RI database and is available for all NEW members in usually 2-3 weeks. All Club President, Secretaries, and Club Executive Secretaries are permitted access to their clubs information on the RI "Member Access" Database once a unique Username and Password has been assigned.

Once this has been completed:

Go to https://riweb.rotaryintl.org/
 
After you login to the RI database, locate in the green area on left the item titled:
 
 
Select this item which will generate a PDF format report of all your clubs TRF status (a good report to have). 
Either print or download the report.

This report has all the RI numbers for each member in your club. Just enter the appropriate club member's RI number into OUR DISTRICT 6960 database system and update their record. This will allow you to also generate the "2-Rotary Transmittal Report" (found in the Reports section) from the DaCdb District 6960 Database which is used to report donations of club members to The Rotary Foundation.
